The Zoho, ZBrains, and Field Service Relationship

You may be wondering how these three things are related. Let’s begin by asking: What is Zoho, and who are ZBrains? Why are their offerings important to field services companies and improved customer experience?

zoho field services architect

What is Zoho?

Zoho is a cloud-based business suite geared to optimize your business by automating processes.  Zoho encompasses not just customer management, but finance, project management, and a host of other business needs.  Using all these apps effectively can be a lot to handle – and to boot, last year Zoho introduced Zoho One, its entire suite of 35+ apps, in one platform.  This has given users access to many more apps than before, many with overlapping functionality.  We’ve noticed it can be a little challenging to learn about the uses of all the different Zoho apps, especially when having to deal with day-to-day office or field work at the same time.

Who are ZBrains?

ZBrains is a Zoho Premium Partner that focuses on adding value to Zoho’s existing ecosystem, with a focus on field services companies.  Our services include process consulting and training on various apps, providing integrations to different third-party apps, and even implementing custom add-ons to automate setting service appointments, optimize service or delivery routes, create mobile work orders, and even calculate commissions.  Our in-house developers and consultants make sure you have an open line of communication to our home office.

Find out below how the union of Zoho & ZBrains is beneficial for your field service business:

Imagine this: a field technician arrives at an appointment to meet with a customer, only to discover he is unprepared: A communication error in your scheduling department has caused him to bring improper materials to the appointment. This situation likely not only upsets your customer, but can also have a negative impact on your bottom line. Thus, having all elements of your business integrated is essential: It helps to avoid miscommunications and eliminates human error caused by manually transferring information. According to Field Technologies online,  the most important concept in field service management is integration. Here at ZBrains, we can help you do this with Zoho solutions tailor-made for your unique business needs.

It can be difficult to make important decisions and move your business forward when you’re bogged down with manual day-to-day processes. By automating your general workflow, you can let your software do the grunt work and keep the hard decisions for yourself. With Zoho One, you have access to apps that not only help your CRM run smoothly, but can help you in all areas of your business. This allows you to collect and analyze data from almost every department to help you strategically plan your next steps.

Increased real-time information is the unity of the cloud and mobile devices. If you’re out in the field, it’s important that you stay apprised of any scheduling changes or updated client information. Zoho has developed their apps to work with you wherever you may be accessing them through your phone, tablet, or other device!  To match this, we’ve made our Zoho SmartScheduler to work on all mobile devices as well! It will schedule your appointments for you, taking into account parameters you set, including territories and areas of expertise. With drive time calculation and Google Maps integration for drive time calculation, it’s the only scheduling optimization tool you need!

Better customer experience

The increased data accuracy achieved by integrating and automating your systems allows for faster response times and productivity from the different departments that run your business. With a steady flow of more accurate information that is able to be accessed on the go, you can easily keep your customers engaged and deliver messages when they’re most crucial. Integration, automation, and mobile capability together allow for more time to cultivate the most important relationship of your business – the one you share with your customer. When they’re happy, you get more referrals and repeat business, leading to a healthy bottom line.

ZBrains is able to ascertain just how Zoho can be best used for your business by engaging you in an exploratory consulting session called a Business Process Analysis.  In this session, a ZBrains consultant takes full stock of your business and can recommend a Zoho solution that is customized for your business – and then, construct the resulting system according to that vision.

An Owl surprised at hot easy migrating to zoho is

Why Migrating to Zoho is Easier Than You Thought

Some CRMs simply don’t live up to expectations – that’s a fact. Many of our clients come to us with the frustration of, “X isn’t doing what I want – so we need another solution”, and we help introduce them to the solution they need (*cough* Zoho). If you have made the decision that your current CRM isn’t working for you, you might wonder whether migrating to Zoho is worth all of the pain and effort. Well, we’re here to tell you that migrating to Zoho is way easier than you thought!

In this blog, we will walk you through the three major areas of migration that will set your CRM up for success, so you’ll get over that hump and get Zoho ready quickly and efficiently.

How Zoho Can Help You

Data, Email, and Inventory – Why Migrating To Zoho Is Easier Than You Thought

Existing CRM Data

One major worry for most sales and marketing teams is data – when migrating over to another CRM, what happens to your data? Until everything is loaded into your new program, many of us would be sweating bullets.

Not with Zoho. Migrating data from your existing CRM to Zoho is simple. Zoho has a great step-by-step guide here to migrate data, giving you everything you need to bring your information over with ease. Within Zoho, you can map modules like users, leads, and accounts to vendors, quotes, and products. The existing fields you have in your current CRM will transfer over. Zoho’s de-duplication process also help to avoid bad data.

For email accounts and data, migrating to Zoho is also a simple process. Migration can be done with many different types of files – if your current CRM is providing EML or ZIP files, these can be uploaded to Zoho Mail. You can also use the Migration Wizard to migrate emails to accounts within Zoho Mail.

Zoho Mail is a webmail interface, just like Outlook or Gmail. It helps keep all of your contact synced with the Zoho CRM, Campaigns, Inventory and more.

If your business relies on the tracking of physical inventory, we are sure you will be pleased to know that Zoho offers incredible inventory tracking – and can migrate all of your current data to Zoho. Avoid double entries and safe time by migrating everything over – even if it’s on an excel sheet.

With inventory migration, you can transfer modules such as contacts, items, sales orders, invoices, bills and more. Zoho offers a great cheat sheet on how to prepare and import your files here.

We are proud of how easy it is to migrate your data to Zoho. Regardless of the CRM you are using now – Salesforce, Pipedrive, Highrise and more – we can transfer your data, email, inventory and more into Zoho. Also, with the several integrations and add-ons available, you can customize it to fit your business.

If you are ready to learn more about how you can make the switch to Zoho, our team is ready to help you along every step of the way. Schedule a consultation with one of our Zoho certified consultants, to learn more.

Guy sitting at his computer looking at Zoho integrations by Zbrains

Looking for Zoho Integrations? (We’ve got you)

Working in marketing, sales, and business development means you have a multitude of apps and software that you use on a daily basis. From email to social media, CRM to accounting, you utilize many different programs to perform activities each and every day. So, when it comes to your CRM in particular, it’s important to integrate with the programs for not only overall ease of use, but to give you more insights into your clients and prospects than ever before. That’s why we love Zoho integrations.

Zoho integrates with dozens of programs – that’s why we’re sharing our top four most favorite integrations with Zoho that we are sure you’ll love for your business.

Here are the four Zoho integrations that we can’t get enough of.

quickbooks integration
1. Quickbooks Desktop

Did you know that Quickbooks can integrate with Zoho CRM? Well, now you do. It is one of our favorite Zoho integrations!

This integration can create and update customers, all of your sales orders invoices, and products. This integration allows you to sync data with the Zoho CRM, so you can have complete visibility of your customer updates through Zoho.

For example, if you are hopping on the phone with a client and they’re asking about the latest sales order that was processed, instead of flipping through the QuickBooks program itself, you can stay within their Zoho account profile and answer any and all questions they have. Need help with deployment of our integration? No problem! Our ZBrains team can help you with both your Quickbooks Desktop or Quickbooks Online integrations!

2. HelloSignhellosign integration

One of our favorite (and most efficient) integrations is HelloSign. Gone are the days of signing contracts on paper and waiting for snail mail to arrive; now, you can speed up your sales cycle and integrate HelloSign (signing documents online) within your CRM.

As soon as a client signs a contract with your business, this integration syncs the signed contract with their profile – keeping all of your data and files in one easy place. You can do it with the Zoho HelloSign integration built specifically for use with Zoho CRM.

google drive integration

3. Google Drive

When saving files, whether it is marketing collateral or signed contracts, you need a safe and secure place to store them. Many companies use storage solutions like Google Drive or DropBox, but such solutions often go out into the abyss and aren’t used or updated regularly.

With the Zoho CRM Google Drive integration, you can keep all collateral and files in one secure place, keeping the attachments you need within each prospect file. Google Drive integrates within Zoho CRM, creating a folder or series of folders that link to your CRM records of choice.

4. MailChimpmailchimp integration

Your marketing team is likely all over email – segmenting audiences, scheduling campaigns and dissecting data. Yet, what good is it if you can’t view this data within your CRM as your sales team is actively prospecting for new opportunities?

MailChimp integrates within Zoho so you can view this data within each prospect record – whether they’ve opened an email, what lists they are part of and so much more. Our Zoho MailChimp integration syncs the contacts you need for a successful marketing campaign right to Zoho CRM as if the programs were made for each other.

There are a plethora of Zoho integrations that will work for your business – and we’re so thrilled. With over 30 different programs that will integrate with Zoho CRM, this is truly just the tip of the iceberg. To learn more, or to uncover if your favorite program will integrate with Zoho, schedule time with one of our Zoho Certified Consultants.

3 Ways the DIY Zoho QuickBooks Integration Gives You Control

If you’re any sort of follower of this site, you already know that we provide an integration between Zoho CRM and QuickBooks – for both Desktop and Online versions of QuickBooks.

quickbooks zoho integration

However, you may not have known that our new version of the integration is totally do-it-yourself and gives you a host of great new options for managing your data.  Whereas before you’d have to consult with our engineers whenever you needed to change a field mapping or make any sort of tweak to your settings, our new dashboard makes it easier than ever to sync, filter, and back-fill your data.

#1. Customized field mapping for your company

quickbooks zoho integration

If you’ve implemented Zoho CRM you probably know a thing or two about CRM customization – namely, that it has to be done for your business to run effectively.  That said, it probably doesn’t make much sense for you to even attempt to map your data from your CRM to QuickBooks, or vice-versa, using a predetermined mapping scheme.  Our DIY dashboard gives you the ability to set field mapping across platforms yourself, even to custom fields.

#2. Record filtering so you only sync what you need

quickbooks zoho integration

Your company might have criteria in place to transfer records from one system to another so your systems don’t get bogged down with unnecessary information.  For example, maybe you only want to transfer a Zoho account record to QuickBooks if that account has an email address present.  Well, just because you’re moving to a new syncing system doesn’t mean you should have to lose that criteria!  With our record filtering module, you can set criteria by which records can sync – as many criteria as you want, and for any of the modules you have available to you.

#3. Migrate your historical data so your systems match

quickbooks zoho integration

When you’re moving from an old system to a new one, it can be a real pain to back-fill all your old data so your systems are communicating with each other effectively.  If you simply don’t have the time to spend babysitting a data migration, why not let our data migration tool do the job for you?  For migrating data from an old system to a fresh, new one, nothing works better: just select your historical sync dates by module and hit Submit.

If you already have some data on your new system, the historical data sync will still work; you’ll just have to make sure the names of your accounts, products, invoices, etc., are consistent across platforms, as the integration uses the name of any record as the key field.  For more info on that, you can contact us and we’ll give you the scoop.

Total business control at your fingertips

With the various market niches that businesses can fill, it happens that no two are alike… And, so it goes with both your CRM platform and your data syncing needs.  Choose a system that allows for deep customization – Zoho CRM – and choose an integration with QuickBooks Desktop or Online that allows for complete customization of your syncing needs.  Have any integration questions?  Contact us at (888) 207-4111.

No Intuit Sync Manager? No Problem

With Intuit discontinuing the Intuit Sync Manager, are you prepared to find another way to connect QuickBooks to the cloud?

intuit sync manager

Disclaimer: ZBrains customers who use our Zoho QuickBooks integration are NOT affected by this, as our product utilizes the QuickBooks Web Connector (QWC), not the Intuit Sync Manager.

Now that that’s out of the way, you can breathe a little more easily, but the fact still remains that businesspeople using Intuit’s sync manager are going to have to find a new way to sync their data.  Intuit warned us about this a good while ago – over a year and half, to be precise – but, it’s still jarring to have a deadline nearly in your face with a software move to make.  So, how did Intuit’s Sync Manager come to be, and why has Intuit decided to retire it along with the rest of the QuickBooks Desktop REST API?

A brief sojourn into synchronization history

intuit sync manager

Intuit Sync Manager was designed to sync data from QuickBooks (Desktop versions like Pro, Premier, and Enterprise) to the cloud, where it’s easily accessible by developers (or third-party programs) for use in syncing.  When QuickBooks Desktop was the only thing around, using Intuit Sync Manager was a great way to get QuickBooks to play nicely with other apps and programs.

As time’s passed, many applications that began life tied to a desktop are seeing their younger brethren sprout wings and head into the cloud; QuickBooks is no exception to this.  Cloud-based business programs are much quicker; that statement not only means less time waiting for programs to load, as they don’t use your valuable server space, but it also means no waiting for programs to install or update.  It also means the end of limitations brought on by using incompatible OS platforms – for example, Windows vs. Mac – since anyone with a web connection can access a web-based program.

intuit sync manager

This move to the cloud coincided with the development of the QuickBooks Web Connector.  This tool was designed with the same basic functionality as the Intuit Sync Manager, but with the added ability to connect web-based apps directly to one another – and, of course, the superior functionality of the QWC meant the eventual end of the Intuit Sync Manager.

As a QuickBooks user, what does this mean to you?

It depends on your relationship with QuickBooks at the moment, as well as your relationship with Zoho or your CRM of choice.

Do you use the Intuit Sync Manager to connect your QuickBooks Desktop to your CRM?

  • If so, you’ll have to either use the QuickBooks Web Connector to do the same job or, if that option isn’t available, you may need to implement a different CRM, one that can use the QuickBooks Web Connector and not just the Intuit Sync Manager.

Are you planning to connect your CRM to QuickBooks?

  • You’ll need to use a CRM option that’s compatible with the QuickBooks Web Connector and not just the Intuit Sync Manager, since you won’t be able to use that product to sync across platforms as of March 1st.  If your business model depends heavily on syncing data between QuickBooks and CRM, make sure the CRM you choose works with the QWC.

Do you use QuickBooks Online?

  • If you do, you don’t have to worry, as QuickBooks Online was designed to work with the QWC.  In other words, this Intuit Sync Manager issue won’t affect you at all.

What about Method CRM?

intuit sync manager

Method CRM is an Intuit-endorsed solution that connects seamlessly with QuickBooks.  For very simple use cases, it’s not a bad product, but, if you want any sort of customization or even marketing automation in addition to the most basic contact lookup features, you might not like what you see.  (We reviewed Method CRM here.)

In sum, the pros are:

  1. Provides basic contact lookup and lead funneling functionality
  2. Sleek, smart UI
  3. Unlimited contacts per record

And, the cons:

  1. Doesn’t use social media integrations
  2. Doesn’t have any built-in marketing campaign abilities
  3. Very limited customization ability (aside from unlimited contacts per record)

For the lack of a social media and marketing tools alone, Method CRM is probably not a great choice for anything other than a small business – and to boot, if you need any major customization done to your system, Method CRM won’t work at all.

intuit sync managerYou know what we say…

We’re a Zoho CRM consultancy here, so our views are a little skewed.  That said, we’re happy to help set you up on a QuickBooks integration with Zoho CRM.  We set ourselves apart from the other Zoho firms out there by offering this integration as well as a handful of others, proprietary Zoho add-ons, plus personalized Zoho support and training from a team that eats, drinks, and practically breathes Zoho.

In any event, I hope you found this post informative.  The discontinuation of the Intuit Sync Manager will probably affect a great number of users – anyone who hasn’t already migrated over to a different platform or who’s stayed on a program that only used the Intuit Sync Manager – so, we hope to act as a resource for you.

Zoho QuickBooks Integration Video PLUS DIY Announcement

Howdy, all!

We’ve got a double-helping of QuickBooks information for you.  Today’s blog post serves two purposes:

  1. To let you know that we’ve updated our Zoho QuickBooks Desktop integration page with a new video that shows how the integration works.
  2. To let you know about our upcoming DIY integration for Zoho and QuickBooks.

The Zoho QuickBooks integration video

We made this in hopes that it would help the good number of you who’ve been calling and emailing in with questions about how the Zoho QuickBooks integration functions.  It was high time we put out something like this, and, we really appreciate how patient you’ve all been.

The video should help to answer some of the really basic questions about how the plugin works.  Once you’ve watched that and you have some additional technical questions, we’ll (still) be glad to talk to you about those.

Anyway, you can check out the Zoho QuickBooks integration video below!

If you have any additional questions after watching the video, don’t hesitate to call is at (888) 207-4111.  Or, submit your information right here and we’ll reach out to you ourselves.  Subscribe to our YouTube channel, too, for fresh video content.

The Zoho QuickBooks DIY integration is coming!

zoho quickbooks integration

We’re very excited about this, as we’ve been working on getting a do-it-yourself version of our QuickBooks integration to you for a good, long while – and, I know many of you, business owners and resellers alike, have been waiting for this very patiently.  And, we’re very thankful for that.

The DIY integration is slated for launch on January 1st, so, keep your eyes peeled.

To accompany the integration, we’ll have a full page of information so you’ll see exactly what the product consists of, as well as a video detailing how it all works and how you can install it on your system.

If you’re new: What does it do?

Of course, not everyone who reads this blog has been poring over it for months.  For those of you who don’t know, a QuickBooks integration with Zoho is designed to sync information across the two platforms.  The amount of information that gets synced depends on which package you’re looking at; it happens that a lot of people were waiting for this free integration to arrive, either because they simply didn’t require the synching power of our premium integrations, or because the premium integrations were outside their price point.

Of course, Zoho CRM isn’t the only one that can sync with QuickBooks…but, we think it’s the best one for a number of reasons.  (Method CRM, for example, is supported by Intuit directly and integrates with QuickBooks, but is not nearly as customizable as Zoho.)

A few fast facts for the freemium integration:

Here’s a little primer to get you started:

  • The DIY freemium integration utilizes the QuickBooks Web Connector to sync data between Zoho and QuickBooks, just like our premium integration.
  • It will allow you to sync Accounts/Customers and Products between Zoho and QuickBooks in a bi-directional sync.
  • It will come with its own tutorial video detailing how it all works and showing you how to install it.
  • It’s completely free – no strings attached.

Keep it locked here for future notifications!

staring at monitor

We may have more news on this before the final release date of January 1st, so, follow us on Twitter, Facebook, and LinkedIn to get the latest updates and other fresh content.  (Use the buttons at the top of this entry.)

As always, please call (888) 207-4111 if you have any questions about the freemium integration, the Zoho QuickBooks integration video, or if you need additional Zoho consulting, support, or Zoho training options.

Why Integrate QuickBooks with Zoho CRM?

Why Integrate QuickBooks and Zoho CRM?

(A Theoretical Journey)

integrate quickbooks

There are many reasons to integrate QuickBooks and Zoho CRM, but, if you’re not so familiar with the capabilities of both programs, those reasons for integrating may not be so obvious.  And, if you’re someone who has done business one particular way for many years, you may not yet realize the importance of connecting business software programs.

In order to illustrate a point…let’s go on a short excursion.

Lousy communication looks like this

integrate quickbooks

It may be cliché, but, in the world of business, it’s nearly always better to work together with your colleagues than to work separately.  Being separated from your fellow workers comes with its share of disadvantages:

  1. Nobody knows what the other is doing
  2. Information has to be relayed between parties (and sometimes a third party) if it wants to get anywhere
  3. Transferring information takes a long time

integrate quickbooks

There’s a common thread connecting these, of course: it’s all about communication.  Not communicating can really slow things down in a business, at times even preventing things from happening entirely.  As a reader of this blog, you’re probably at least somewhat tech-minded, and you’re likely familiar with some effective communication methods as they apply to business.  For example, you probably:

  • Call up a coworker or leave a message in a chat room rather than do nothing when you’re checking in on someone, and you can’t be there in the same room.  This way, your colleagues know you’re trying to communicate.
  • Use a direct route of communicating for important matters–like a shout or a walk down the hallway–rather than tell someone else to pass along a message.  That way, nothing gets lost in translation.
  • Work expeditiously to get your messages across to colleagues, vendors, and everyone else important in your life.  That way, you get your required tasks finished quickly.

These are standard business practices, not to mention life practices.  And, you’re probably nodding your head anticipating something slightly less obvious…

Well, try this notion on for size: in spite of knowing well how to communicate verbal information efficiently in the office, many companies do not use these same principles when thinking about their software programs.

Back to reality: Why integrate QuickBooks and CRM at all?

integrate quickbooks

So, why would you want to integrate Zoho with QuickBooks Desktop or QuickBooks Online?  We can apply the same principles from effective human verbal communication to effective software communication.  Software programs essentially do the jobs people can’t quite do themselves.  For example, a CRM remembers countless lines of data; QuickBooks tracks all your company’s finances.

It follows, then, that not integrating software programs creates situations similar to those created when people aren’t integrated properly in the workplace:

  1. One program doesn’t know what the other is doing
  2. Information needs to go through a not-always-compatible third party to get anywhere, and that sometimes corrupts data
  3. The transfer of information is unnecessarily slow

Programs these days…

Just as technology has increased communication in humans dramatically over the past years, technology has done the same for software programs.  Many programs that previously had no connective capability are now built especially for integration.  Rather than have the three situations above, with integrated programs you have something much more effective:

  • Programs “knowing” what each other is doing
  • Information going through a specially-designed electronic corridor
  • Much quicker transfers of information, sometimes instantaneous

So, why integrate QuickBooks with Zoho CRM, specifically?

integrate quickbooks

Now that we know basically why it’s better for humans to work together than not, and why it’s better for software programs to integrate in order to do the same, we should be able to glean why it’s good to integrate QuickBooks and Zoho CRM:  Communicating efficiently is better than communicating slowly, or, not at all.

But, what are some specific things that QuickBooks and Zoho can communicate between each other?

  • Accounts and Contacts: If you have a record of someone in your CRM, chances are you’ll want to either pay them for services or goods, or charge them for your own, by having a record of that person in QuickBooks.  Or, you’ll want to transfer that record from QuickBooks to your CRM so you can add additional notes on that person.
  • Invoices, Quotes, Sales Orders, Purchase Orders:  The same ideas from above apply here.  Use your CRM to take detailed notes on purchases, and use QuickBooks to collect payment.
  • Vendors: Again, synchronicity allows for detailed tracking in CRM and actual payments in QuickBooks.

When you integrate QuickBooks with Zoho CRM, you eliminate countless hours of manual data entry; you also ensure communication between the two programs.  For example, you can turn Quotes in Zoho into Invoices in QuickBooks at the push of a button.  That means no more having to manually enter order details.

Sales Team Lagging on the Phones? Try Integrated VOIP

When you’re running an outbound call-based inside sales business, time is everything.

In fact, the phrase “time is money” probably doesn’t ring more true in many types of businesses.  Your salespeople have a singular task of reaching as many potential customers as possible, so, every second they spend off the phones (mental health breaks notwithstanding, sure…) is a second they aren’t selling.  That’s a second your company isn’t earning!

Even with that in mind, a shocking number of these kinds of businesses don’t use an integrated calling system.  They dial numbers the old-fashioned way, manually – whether from an online list or even from a phonebook.

This wastes time needlessly.  But, many business owners simply aren’t aware of a better way of going about things: integrated VOIP.  Essentially, an integrated phone system bridges the gap between CRM and telephone, and, this saves a great deal of time with processes that were traditionally a little cumbersome, like, entering phone numbers manually and navigating through many different programs to record notes.

Integrated VOIP at a glance

Imagine these scenarios possible with integrated VOIP:

  • Your salespeople are able to make calls with just a push of a button on their keyboards.
  • When your salespeople make calls, special software cross-references dialed numbers with numbers inside your CRM and automatically pulls appropriate notes and call history.
  • When your team members receive incoming calls, the software pulls up the same notes and call history.
  • Your salespeople can record notes inside this special software while on the phone, and the software records those notes to your CRM.

All this is possible with existing technology: that is, an integrated VOIP program.

The chief objective of using any integrated systems, including an integrated VOIP program, is to save time.  That said, an integrated VOIP saves times in a number of ways:

  1. By pressing a single key instead of dialing an entire phone number, your sales team members can save a fraction of a minute on every single call.
  2. By having a program automatically recall notes and call history, your sales team members can save at least a minute searching for notes manually on each call.
  3. By having this same program automatically record notes into your CRM, each sales team member saves an additional minute they’d ordinarily spend navigating inside your CRM, perhaps through multiple screens.

Consider integrated VOIP for the time you get back every day

For a business that needs its sales team members to make hundreds of calls per day, this is absolutely invaluable.  In fact, if team members saved just one minute per call and only made 60 calls per day, those team members would gain an entire hour of time per day.  What could all of your sales team members do with an extra hour?
